Job Title: Office Coordinator

Terms of Position: 20 hrs/week (minimum) Hourly Wage ($14.00 – 16.00) based on experience

Position Summary:

Reporting to the Executive Board of the Electrical Association of Manitoba, the Office Clerk is responsible for providing general office administration for the office of the Electric Association of Manitoba. The office is located in rented space within the office facilities of Manitoba Hydro International.

Major Responsibilities:


 Provides overall daily office support for the EAM office
 Schedules meetings for the EAM board and its committees, prepares agenda, records and distributes minutes and action items
 Maintains the invoicing and payment processing for membership fees and events
 Maintains necessary communication with members and suppliers to ensure timely processing of accounts receivables and payables
 Maintains bank deposits
 Establishes, organizes and maintains filing system (both physical and electronic)
 Provides weekly updates to Executive Board on status of committees and weekly transactions
 Updates, maintains and ensures the integrity of the EAM membership directory database, including online version
 Provides planning and organizational assistance to the various committees of the board on events and activities (ie. Annual AGM, annual golf tournament, educational seminars, etc)
 Drafts communications (letters, emails, agendas and meeting minutes) on association activities and updates to maintain regular contact with association members
 Maintains office equipment and office supplies


 Preferable experience in a small office environment.
 Must be self-motivated, detail oriented and able to work independently
 Must have excellent communication skills, both verbal and written, and customer service skills
 Computer proficiency including MS Word, Excel, and databases.
 Prior experience with accounting software, preferably Quickbooks
 Demonstrated organizational, communication and interpersonal skills
 Experience with popular social media tools (i.e. Twitter, LinkedIn, Instagram, etc.)
 Alert, resourceful and able to interact with a cross-section of business persons
